Introduction
Welcome to the user manual for Daily Backup for Zoho CRM. This extension automates the daily backup of your Zoho CRM data to Zoho WorkDrive, ensuring your data is secure and easily retrievable.
Before You Begin
To use the extension, ensure the following requirements are met:
- Zoho CRM Subscription: You must have an active subscription to one of the following plans:
- Zoho CRM Professional
- Zoho CRM Enterprise
- Zoho CRM Ultimate
- Zoho One
- Zoho CRM Plus
- Administrator Access: You must be an administrator or, preferably, the superadmin of your Zoho organization.
- Zoho WorkDrive: Ensure your organization has a Zoho WorkDrive or Zoho One bundle subscription.
- Free Disk Space: Sufficient free disk space must be available in your Zoho WorkDrive to store backups.
- Team and Team Folder: Your Zoho WorkDrive must have at least one Team and one Team Folder.
Step 1: Installation
- Visit the Zoho Marketplace page for
Daily Backup for Zoho CRM:

- Install and start a free trial or purchase a license.
- Click on the Install button and follow the prompts to integrate the extension with your Zoho CRM account.
- Grant the necessary permissions when prompted to allow the extension to access your CRM and WorkDrive data.
- Confirm the installation and verify that the extension appears in your Zoho CRM under installed extensions.
Step 2: Settings
- After installation, go to the Settings tab and select the Team and the Team Folder where the backup will be stored.

- Inside this Team Folder, a folder named “Zoho CRM Backup” will be created automatically.
- To change the settings later:
- Go to Settings > Marketplace > All > Installed and select the extension.
Step 3: Working
- Once settings are configured, a schedule running every two hours will check if backups for the current day are needed and will execute them as necessary.
- No user action is required during this process.
- Backups are kept versioned indefinitely unless manually deleted by the user.
Step 4: Checking Backups
- In the Backups module, you can:
- View your backup history.

- Access links to the ZIP files containing CSV files with the records of each module.
- Alternativelly, you can go to Zoho Workdrive and check them directly in the “Zoho CRM Backup” folder.

Step 5: Restoring Backups
- To restore a backup:
- Unzip the files for the desired restore point.
- Navigate to Settings > Data Administration > Import > Data Migration > Zoho CRM.
- Follow Zoho CRM’s import process to complete the restoration.
Important Notes
- If your subscription ends or you stop using the extension, previously backed-up data will remain in Zoho WorkDrive. However, no new backups will be created.
- Ensure consistent free disk space to avoid disruptions in the backup process.
